The Professional Development Program (PDP) of the University at Albany’s Rockefeller College seeks a service-minded individual who is committed to performing high-quality work to fill a Project Staff Associate/Administrative Unit Coordinator position within PDP’s Department of Early Childhood Training in Albany, NY. 

DESCRIPTION OF DUTIES:

Under the direction of the department manager, this position will oversee and coordinate administrative activities and provide project and logistical support to project team staff by planning, organizing, and coordinating a wide array of training activities. The successful candidate must have strong organizational skills and the ability to effectively manage multiple tasks and projects with competing priorities/deadlines in shared staff resource setting.  The successful candidate must also possess analytical and critical thinking problem solving skills, independent judgment, initiative, and willingness to collaborate to accomplish goals and meet contract deliverables.  Duties include but are not limited to:

·         Direct and oversee department functions and administrative support staff workflow, prioritize assignments, train staff, and provide coaching and mentoring as needed to ensure consistency and integrity of project work and meet project deliverables.
·         Support all logistical aspects of contractual training offerings including scheduling, registrations, materials, and evaluations.
·         Coordinate purchasing and procurement of goods and services, review and track purchase requisitions and expense reimbursements to ensure expenses are within budget.
·         Manage and oversee customer service for specialized participant programs offered by PDP which includes database administration, participant correspondence, phone calls, and troubleshooting.
·         Provide support to Director and project managers including completion of assigned projects.
·         Gather and analyze data and assist in preparation of periodic and ad hoc sponsor-required reports.
·         Negotiate arrangements for conference services, presenters, and participants.
·         Assist with formatting and proofreading of program training materials.
·         Other duties as assigned to meet contract requirements.
 

MINIMUM QUALIFICATIONS:

1.       Bachelor’s degree from a college or university accredited by a USDOE, or an internationally recognized accrediting organization.

2.       Three years of experience supervising staff in administrative roles and managing customer service efforts.
3.       Two to three years of experience providing logistical planning support.
4.       Experience with expense tracking and budgeting.
5.       Excellent writing, speaking, and interpersonal communication skills.
6.       Strong leadership and problem-solving skills.
7.       Strong computer skills and demonstrated proficiencies using Microsoft Office products, particularly Word, Excel (advanced), and Outlook.
8.       Demonstrated ability to provide exceptional customer service.
9.       Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community.
10.    Applicants must demonstrate an ability to support diversity, equity, access, inclusion, and belonging, relative to their role.
11.    Ability to lift and carry 20lbs on a regular basis.


PREFERRED QUALIFICATIONS:

1.       Knowledge of Research Foundation policies and procedures.
2.       Familiarity or experience with NYS Childcare Regulations.
3.       Familiarity or experience with programs offered by the Early Childhood Education and Training Program.
4.       Master’s degree from a college or university accredited by a USDOE or an internationally recognized accrediting organization.

 

COMPENSATION: Salary is expected to be $64,000-$66,246 (annual)
