The Professional Development Program (PDP) of the University at Albany’s Rockefeller College seeks a service-minded individual who is committed to performing high-quality work to fill an Administrative Assistant II position within PDP’s Early Childhood Education and Training Program in Albany, NY.  

DESCRIPTION OF DUTIES:
The Administrative Assistant II in the Early Childhood Education and Training Program (ECETP) Unit assists with day-to-day functions related to workforce training programs. This position provides administrative support to trainers including, but not limited to:
⦁    Entering and processing class offerings, registrations and attendance data in Human Services Learning Center database and assisting with project reporting.
⦁    Arranging travel and processing reimbursements for staff and program participants.
⦁    Obtaining quotes and processing purchase requisitions for supplies, equipment, venues, print orders, and other project related needs.
⦁    Assisting with preparation of training materials; facilitate material distribution including shipping to training sites and other locations as needed.
⦁    Answering phones, responding to inquiries, and assisting participants.
⦁    Other duties as assigned to meet project deliverables.

MINIMUM QUALIFICATIONS:
1.    High school diploma and four years of progressively responsible office experience.
2.    General administrative support experience.
3.    Proficiency with computer software, specifically Microsoft Office (Outlook, Word, PowerPoint, Access, Excel, and SharePoint) including the ability to format documents of a complex nature.
4.    Excellent interpersonal and telephone skills.
5.    Excellent written and oral communication skills.
6.    Ability to manage, prioritize and complete numerous tasks within established deadlines, attention to detail, and ability to work independently and as part of a team.
7.    Ability to lift and carry up to 40 lbs.
8.    Ability to occasionally travel on project business to NYS locations, including those not served by public transportation.
9.    Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community.

PREFERRED QUALIFICATIONS:
1.    Experience processing supply orders and purchase requisitions.
2.    Experience making travel arrangements and processing reimbursement requests.
3.    Familiarity with childcare programs and provider training regulations.
4.    Fluency in Spanish.

COMPENSATION: Salary is expected to be $35,000-$39,747 (annual).

FLSA: Non-Exempt
