SUNY Delhi is seeking a highly energetic, engaging, and dynamic self-starter to join the Office of Continuing Education and Professional Studies as an Events Coordinator.

DESCRIPTION OF DUTIES:
The Events Coordinator will be responsible for managing and coordinating events for external (third party) customers and working collaborative across campus to develop and maintain relationships with campus constituents and partners regarding the scheduling, planning, and execution of external and internal campus events.

Job Responsibilities include, but are not limited to:

  • Providing exceptional customer service through efficient communication, outreach, and follow through for events. Guiding the client through the budgeting and planning process, providing pertinent information and relaying accurate costs.
  • Organizing events with pertinent campus departments, managing all event details (e.g. venue reservations, catering, lodging, equipment and technology, room layouts, event setup, and breakdown). Coordinating with campus partners to provide pricing for event options and services (e.g. Residence Life, Catering).
  • Utilizing SUNY Delhi's Event Management Software (EMS) system for reserving space and creating work orders for events.
  • Ensuring compliance with all campus and New York State policies and procedures (e.g. insurance, health and safety requirements).
  • Providing high levels of contact throughout the event lifecycle.  Proactively handle any issues and troubleshoot any emerging problems during events.
  • Conducting follow-up evaluations with customers to support the College's commitment to assessment and continual quality improvement.
  • Preparing all customer contracts, event invoices, and electronic, as well a maintaining accurate cost sheets and closeout sheets. Working with the Office of Finance and Administration on billing and collection of payments.
  • Developing marketing materials to promote campus venues available for rent to third party customers and seek out rental/event opportunities.
  • Maintaining positive working relationships throughout the SUNY Delhi campus and with third-party stakeholders; Maintaining strong working knowledge of policies and procedures within each campus department.
  • Develop a campus events workgroup to oversee the planning, coordination, and implementation of all campus events, including but not limited to Convocation, Commencement, Alumni/Homecoming Weekend, Family Day.


MINIMUM QUALIFICATIONS:

  • Associates Degree in Event Management, Hospitality Management or a related degree from an accredited institution of higher education plus 7-years of professional experience in Event Management or related field.
  • Ability to work flexible hours including evening and weekends.
  • Strong social, interpersonal, and communication skills and exceptional organizational and customer service skills.
  • Experience working with reservation systems and technology related to event management.
  • Experience working with a diverse population, promoting an inclusive environment.
  • Self-motivated, creative and intuitive, with the ability to work independently while collaborating across the college community.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree in Event Management, Hospitality Management or a related degree from an accredited institution of higher education.
  • Two years of professional full-time experience in Event Management or related field.

OTHER: Flexible work schedule to include evenings and weekends as assigned

SALARY:  $48,500.00
